Head of Finance : Role, Accountabilities & Capabilities

• To manage the finance operations and functions ensuring good internal control, reporting and statutory compliance
• To prepare and ensure that all business information and accounting figures are constantly monitored & accurately maintained so as to reflect a true and fair view of the company in the Business Financial & Performance Reports, across the region
• Support the Group Head Finance (GH-F) for development, expansion and consistent growth of brand property and business portfolio and market share in the middleeast by providing medium term business view and strategy to support achieving of targets for the region .

Finance and Accounts
• Managing and ensuring that all the accounting/finance related data are updated on a daily basis and information to commercial/ country head/ corporate are provided on time and with accuracy.
• Authorizing all payments, LPO`s, Journal Vouchers and transactions (based on Authorization Matrix & Board Resolution).
• Ensuring all Balance Sheet accounts are reconciled on a monthly basis and signed off by the respective service department heads.
• Ensuring all audit requirements including schedule preparation are complied with. Interim Audit completion by 25th June; Final Audit completion by 10th July. Final Draft Audit Report completion by 15th July. Signed Audit Report by 20th July.

• Coordinate with Country Head and Group head Finance regarding budgeting & Cash Flow management. Budgeting and forecasting for new projects.
• Monitor the daily cash flows in coordination with the AP section Manager and Section Manager – Accounts to ensure optimum usage of funds.
• Control on expenses to ensure that they are within the budget
• Coordinate with HR Dept regarding Payroll and related internal controls.
• Ensuring all internal control related to Revenue accounting is complied with.
• Monthly reports to Commercial & Services Heads regarding their monthly revenues and expenses compared to Budget.
• Review of Receivable management & Ageing.
• Monthly reporting to parent companies in liaison with Corporate.
• Ensure that all the policies and procedures are followed.
• Suggesting new/update policies and procedures as and when required to the country head and corporate head -Finance.
• Sharing information across all locations related to operations.
• Performance appraisal of the staff/ training and development of Accounts staff. Succession planning.
• MIS file preparation and presentation.
• Promotion related information from IT.
Commercial & Legal
• Ensuring all legal & statutory requirements relating to the stores is complied with.
• Co-ordinate with bankers for guarantees, facilities, cash requirements, etc.
• Negotiating with Banks and other Suppliers for better deals like Interest rates, ATM, POS, letting out space, Co branding cards, etc.
• Develop & maintain relationship with Banks/Financial Institutions, Receive & Evaluate new banking proposals.
• Start, Maintain, Develop relationship with Landlords, Insurance Company, Auditors, key Suppliers.
• Maintain an effective representation and manage all taxation related filings, reports, Books etc and ensure proper statutory compliance.
• Compare, review/ analyse all legal agreements including new projects and report to Group Head Finance
• As head of legal for the country, FM is responsible for handling legal disputes, coordinating with lawyers.
Operations
• Setting up, implementation and periodical review of internal controls for all operations.
• Reporting deviations on implementation of policies & procedures to Group Head Finance.
• Negotiate with insurance companies; get quotes, handling insurance claims.
• To ensure that all assets are fully insured as per company requirement and taking the approval from the landlord on the same on a yearly basis.
• Generating other income for the stores by leasing with external parties through sub lease agreements & EPD

• Coordinate with IT department for installation of new software applications for the store.
• Coordinating with other commercial departments.
Others
• Preparing files for Reporting to Partners/ Shareholders on a monthly basis. Sending the files and information to partners/shareholders – responsibility: Group Head – Finance/ Corporate – Finance.
• To report to the Country Head & Group Head Finance immediately for any deviation or violations of policies & procedures.
• Any other responsibility assigned from time to time and considered necessary or related by the management.
Team Assignment
• Maintain close liaison and working relationship with Divisional Managers in the Department
and the Store to keep abreast of the developments and provide support to other Divisions as and when required.
• Maintain close working relationship with HR, Logistics and IT to monitor various indicators
pertaining to stock, margin, prices, etc. and resolve all issues.
• Maintain close review with Maintenance to keep control about capital expenses and other
monthly routine expenses.
• Take up the Store duties as per the Monthly Duty schedule.

Qualifications & Experience
• Qualified Chartered Accountant
• Atleast 7 years of Post Qualification experience
• Must have minimum 3-4 years of experience in the managerial role (preferably but not compulsorily from the Retail Industry)
• Must be presentable, with very good communication and ability to manage and lead Teams
• Must be able to work independently within the broad policy framework, take initiative and deliver results against odds.
